Online Booking System for Salons & Barbers
An online booking system for a salon or barbershop is a branded page where clients pick their services, choose their stylist and book a free time themselves, day or night. Each stylist has their own hours, breaks and leave, and the calendar blocks double bookings. You run the day from one admin console. InstantBookingPro sets it all up for you, typically live within 24 hours of receiving your services and availability. Plans start at $59 a month (AUD, incl. GST).

Why salons lose bookings on the phone
In a salon, the person who should answer the phone usually has scissors, a colour brush or a client in the chair. Calls go to voicemail, and many callers try the next salon rather than leave a message. Evenings are worse: clients often plan their next cut after hours, when nobody is there to answer. A booking page takes that booking for you at 9pm, so it doesn’t depend on a callback. We worked through what missed calls can cost a service business with a worked example.
How salon booking works with InstantBookingPro
Clients choose their services
Your services are listed with their duration and price, grouped so a long menu stays easy to scan, and searchable by name. Clients can book several services in one visit (a cut and a colour, say). The page adds up the total time and price as they go, so there are no surprises at the counter.
Clients choose their stylist
Each stylist appears as a card with their photo and a short bio, in the order you choose. Clients only see the stylists who work that day and who do every service they picked. Nobody books a colour with a stylist who doesn’t do colour.
Only genuinely free times are offered
Times are worked out from each stylist’s own weekly hours, minus existing appointments, lunch breaks, leave and salon closures. When a client submits, the system checks the time again, so two clients can never take the same slot. If a day has no free time, the page says why (closed, on leave or fully booked) and helps the client find the next available date or another stylist.
Your cancellation policy, agreed before booking
Your cancellation policy is shown at the review step, and clients tick to agree before they book. Clients sign in with Google or a one-time email link, so every booking comes with real contact details. They can see their upcoming bookings and cancel online if their plans change, which frees the slot for someone else.
Tip: Put your booking link in your Instagram bio, your Google Business Profile and your missed-call text. That’s where new clients look for you, and it works even if you don’t have a website.
Running the salon day from the admin console
- Day timeline. See every stylist’s appointments and gaps for the day, or one stylist at a time, with the day’s booked value.
- Arrival alert. While the console is open, a banner shows who’s arriving in the next hour, with a sound when the next client is a few minutes away.
- Walk-ins and phone bookings. Add a booking yourself using the same availability checks, so a phone booking can’t clash with an online one.
- Block out time. Block a slot with a click, add one-off or weekly breaks, and set leave or salon closures with a message shown on the booking page.
- Staff and services. Add stylists with photo, bio, weekly hours and the services each one does. Edit service names, durations and prices any time.
- Client lookup. Search by name, phone or email to see a client’s contact details and booking history.
- Reports. Bookings by service, client, stylist and cancellations over any date range, with CSV export.
- Staff logins. Give stylists their own login to see their upcoming bookings, while admin access stays with you.
Phone-only vs online booking for a salon
| Aspect | Phone-only | With InstantBookingPro |
|---|---|---|
| After-hours bookings | Voicemail, often no message left | Clients book themselves at any hour |
| Choosing a stylist | Juggled at the front desk | Clients pick from photo cards, filtered to who does their services |
| Multi-service visits | Time added up in your head | Total time and price calculated as clients choose |
| Double bookings | Easy to make from a paper diary | Every time is checked again before it’s confirmed |
| Leave and closures | Rebook clients by hand | Blocked automatically, with a message on the booking page |
| Client history | Spread across the diary and phone | Search any client and see their past bookings |
Try it before you decide
The booking demo runs the real booking engine with a sample salon menu (hair, facials, threading, waxing and nails) and fictional stylists. You can also open a read-only copy of the admin console for a fictional salon, with a few hundred invented bookings, after a quick email check. HeroSalon is our sample salon website with booking built in. Every person, price and booking in these demos is invented.
