Best Online Booking Systems for Australian Small Businesses (2026): AUD Prices Compared

Illustration comparing booking system price cards in Australian dollars
Quick answer

There’s no single best online booking system. It depends on how you work. Salons and beauty businesses that want payments and SMS built in usually shortlist Fresha (from A$44.95 a month) or Timely (from $42 per staff member a month, ex GST). Shops already using Square tills look at Square Appointments (free for a single location, or $40 a month on Plus). DIY budget options include SimplyBook.me and Zoho Bookings. If you’d rather not set anything up yourself, InstantBookingPro builds your branded booking page and admin console for you, from $59 a month including GST. All prices were checked on each vendor’s own pricing page on 19 October 2026.

Choosing booking software usually means comparing a dozen pricing pages, half of them in US dollars, some including GST and some not, with card fees, SMS charges and commissions in the fine print. We’ve done that legwork for you. Below are the systems Australian small businesses most often shortlist, with the prices they publish today in Australian dollars where they publish them, and who each one suits.

Disclosure: InstantBookingPro is our product, and it’s included in this comparison. We’ve stuck to published facts for every system, ours included, and noted where ours doesn’t fit.

How we compared them

  • Prices from the vendor’s own pricing page, checked on 19 October 2026, viewed from Australia. Prices change, so check the vendor’s page before you sign up.
  • AUD where it’s published. Where a vendor shows only US dollars, we say so rather than converting.
  • GST noted. Some vendors quote ex GST and some include it, so the headline numbers aren’t directly comparable. We’ve labelled each one.
  • The whole cost, not just the plan: per-staff pricing, card fees, SMS charges, new-client commissions and setup.

Trades businesses often look at job-management tools rather than booking software. ServiceM8 (a free plan for up to 30 jobs, then paid plans from $29 a month including GST, priced by number of jobs) and Tradify (from $48 per user a month ex GST) are common choices. Kitomba, a salon system, doesn’t publish its prices.

The shortlist, system by system

InstantBookingPro: best if you want it done for you

Most booking software hands you a login and a setup checklist. We do the setup instead. You send us your services, prices, staff and hours, and we build your branded booking page and admin console, typically live within 24 hours of receiving them. Customers choose their services and staff member, see only genuinely free times and book 24/7. You run the day from a timeline, block out time, add phone bookings and look up any customer’s history.

  • Price: Launch $59, Scale $79, Elite $119 a month, all in AUD including GST, plus a one-off $149 setup (introductory offer). Billed yearly, it’s 15% less.
  • Good fit: salons, barbers, beauty, clinics, cleaning businesses and other appointment businesses that want a booking page without the setup work.
  • Not a fit (today): if you need deposits or card payments at booking, or SMS reminders. Those aren’t part of the system at the moment.

Fresha: best for salons that want payments built in

Fresha is built for hair, beauty and wellness, and pairs bookings with card payments and a consumer marketplace. Its Independent plan is A$44.95 a month and its Team plan A$29.95 per team member a month, both ex GST. The fees to understand are card processing (from 1.29% + A$0.26 in person) and the 20% one-time commission, minimum A$8, on new clients who find you through the Fresha marketplace. Bookings through your own link, Facebook or Instagram carry no commission.

Timely: best for multi-staff salons wanting SMS included

Timely charges per staff member: Build $42, Elevate $65 and Innovate $79 a month, ex GST. Each plan includes a monthly SMS allowance and it charges no new-client fees. Card payments are 1.54% + 5c in person and 1.80% + 30c online. Because pricing is per staff member, the bill grows with your team, and part-time staff cost the same as full-time.

Square Appointments: best if you already use Square

Square’s Free plan covers a single location, and Plus ($40) and Premium ($90) are priced per location a month, with no limit on employees. Card fees are 1.6% in person and 2.2% online. It makes most sense if you already take payments with Square.

SimplyBook.me and Zoho Bookings: budget DIY options

Both have free plans and low monthly prices in AUD: SimplyBook.me from A$14 a month (with booking and staff caps per plan) and Zoho Bookings from A$12.41 per user a month including local taxes. You set everything up yourself, which suits people who enjoy configuring software and have the time.

Setmore, Acuity and Calendly: US-priced schedulers

These are popular, but they publish prices in US dollars, so your bill will move with the exchange rate. Calendly is designed for scheduling meetings rather than booking services with staff, prices and durations.

Cliniko and Mindbody: specialist systems

Cliniko (from $45 a month ex GST for one practitioner) is built for allied health practices and priced by the number of practitioners. Mindbody (from A$89 a month per location) is built for fitness studios, gyms and wellness businesses.

Tip: Before you compare monthly prices, add up your real monthly cost: the plan multiplied by your staff, card fees on your typical takings, SMS beyond the allowance and any marketplace commissions. Our booking software cost guide walks through worked examples in AUD.

Is Fresha or Timely better?

It comes down to how you’d rather pay. Fresha’s plan prices are lower per team member (A$29.95 on Team versus Timely’s $42 on Build, both ex GST), but it charges a 20% commission, minimum A$8, on new clients who come through its marketplace. Timely charges no new-client fees and includes SMS in every plan, but costs more per staff member. If most new clients find you through your own Instagram or Google listing, the marketplace commission matters less. If you rely on the marketplace for new clients, factor it in.

Frequently asked questions

Which online booking system is best for small businesses in Australia?
It depends on your business. Salons wanting payments and a marketplace often choose Fresha. Multi-staff salons wanting SMS included look at Timely. Square users pick Square Appointments. Budget DIY users try SimplyBook.me or Zoho Bookings. Businesses that want it set up for them at a flat price choose InstantBookingPro, from $59 a month including GST.
Is there a free online booking system in Australia?
Yes. Square Appointments (single location), SimplyBook.me (up to 50 bookings a month), Zoho Bookings (one user) and Setmore all have free plans. Free plans usually limit bookings, staff or features, and card fees still apply when you take payments.
Is Fresha or Timely better?
Fresha costs less per team member but charges a 20% commission (minimum A$8) on new clients from its marketplace. Timely costs more per staff member but has no new-client fees and includes SMS. Choose by where your new clients come from and how many staff you have.
Is there a better option than Calendly for a service business?
Calendly is built for scheduling meetings. If customers book services with set durations and prices, with a choice of staff member, a service booking system such as InstantBookingPro, Fresha, Timely or Square Appointments is a better fit.
How do I set up online booking for my business?
List your services with durations and prices, set each staff member’s hours, then share your booking link on Google, Instagram and your website. With InstantBookingPro we do the setup for you: send us your services and hours and you’re typically live within 24 hours.
Do I need a website to take online bookings?
No. Your booking page has its own link you can add to your Google Business Profile, Instagram bio and text messages. If you want a website as well, we offer website packages.

Prices checked on each vendor’s pricing page on 19 October 2026. They can change at any time, so confirm the current price with the vendor before signing up.
